Terms & Conditions
Tours and Itineraries are flexible and dependent on various conditions such as weather, vehicle breakdown, accidents, political stability, unrest, road conditions and others which could influence and change the trip. we are not liable for any cancellations, diversions, substitution of equipment, variations, postponements or any other act, omission or default made by the operators who we have booked on behalf of our clients.
Personal Belongings are the responsibility of the participant and FloGuide liable for any loss or damage to baggage or property, injury, illness or death, or any other loss or theft of personal belongings as well as damage or claim whatsoever arising from the act, error, omission, default or negligence of any person not our direct employee or under our exclusive control.
Travel documents are the responsibility of the participants. Please insure that all passports, visas and certificates are in order before departure. FloGuide accepts no responsibility for any participants being refused entry into any Countries for any reason.
Insurance: Comprehensive travel insurance covering cancellation, curtailment, medical emergency, travel and personal accidents is compulsory. It is the participant’s responsibility to ensure that his/her insurance is adequate and fully covers their personal needs.
Personal Health: It is expected that participants are in good health at departure. During the tour you will often be far from medical facilities. It is your responsibility to inform your guide of any existing medical or health problems and you will be expected to complete a medical information form before departure.
Complaints should immediately be brought to the attention of the tour leader or guide to attempt and rectify the matter immediately during the tour. Complaints after the tour should be made in writing within 20 days after the end of the tour and addressed to firstname.lastname@example.org. No complaints will be accepted after that time.
Meal can be arranged. We use mostly organic and home-made products when preparing pic-nic and snacks on request.
Transport can be arranged according to the number of participants.
Accommodation can be arranged when the budget and the number of participants has been confirmed
PAYMENT POLICY & PROCEDURE
All proposed itineraries are only confirmed once a 50% deposit has been received.
Deposit: If a booking takes places more than 50 days before the tour starts a 50% non-refundable deposit is payable in conjunction with the booking.
Balance of payment is due a minimum of 30 days before the start of the tour. If balance is not paid 30 days before the tour FloGuide at own discretion may regard booking as cancelled.
If booking less than 30 days in advance the full price is payable with booking.
CANCELLATION POLICY & PROCEDURE
Cancellation can be made by phone call and confirmed in writing or just in writing.
Policy: If a cancellation is made more than 30 days in advance only the deposit will be forfeited. A cancellation made less than 30 days in advance will forfeit the full fare.
Cancellation by FloGuide: Should a tour be cancelled by FloGuide before departure, the cost will either be fully refunded or a substitute tour offered. In the event of FloGuide cancelling a tour we accept no responsibility for any additional costs incurred by the client related to the cancelled tour.
After your travel has commenced, there can be no refund in respect of any services or products not utilised whether by choice or because of late arrival or early departure, including failure of a transport to operate according to schedule.
INDEMNITY & ACCEPTANCE of RISK
Participants on all tours will be expected to sign an indemnity form and accept the risk involved in adventure activities and travelling. Should FloGuide must change a tour itinerary for any reason will not be liable for any form of refund if all the possible alternative arrangements have been taken into considerations. In certain cases where FloGuide is acting as a booking agent to secure the services of another operator on behalf of the client, FloGuide cannot accept any liability for the services or itinerary of the other operator and all such bookings are done at the client’s risk.
WITHDRAWAL OF TOUR OPERATOR
FloGuide has the right to withdraw from any tour at any time especially should the participant/s provide causes such as falling ill which could jeopardise the tour. FloGuide can cancel a tour after it has started and without prior notice should participant/s disturb the tour by unlawful, improper or unsuitable behaviour. In such cases no form of reimbursement will be considered.
FloGuide collects personal information only to the extent necessary to deliver the services and information you, an agent or other passenger booking on your behalf request.
FloGuide uses the following personal information from customers to allow us to provide services to you as requested:the full name, age, home address, phone number, e-mail address, passport and travel medical information (where required), insurance details, nationality, residency, nutrition preferences, diet limitations/allergies, trip evaluations and feedback, travel & accommodation preferences, trip destination information.
FloGuide uses this personal information to provide the services you have requested or information about those services.
FloGuide uses the personal information collected both for our internal purposes, such as to process your booking, and occasionally on behalf of the parties for whom we act as agent, for their internal purposes in providing the services or products you have requested.
